Shutts & Bowen LLP is searching for a Commercial Real Estate Legal Assistant to be part of our Tampa office.

Some of the duties we need a commercial real estate legal assistant to handle are:

  • Drafting preliminary title documents and amending them.
  • Performing online title research at various registries of deeds websites to find certain recorded documents
  • Interacting with paralegals, attorneys, and lenders on closing documents and timelines.
  • Drafting correspondence and various legal documents.
  • Scheduling appointments, meetings, and deadlines.
  • Maintaining client files in the firm’s document management system.
  • Providing administrative support by transcribing tapes, drafting correspondence, reports, memoranda and other legal documents (i.e. closing documents, electronic filings, etc.), submitting same for review, revising, proofreading, assembling and distributing prepared material as necessary.
  • Entering time for timekeepers, preparing expense reports, and reviewing billing statements. Reviewing statements for billings received from the Accounting Department to clients for services rendered and completes complex clerical procedures in connection therewith.
  • Interacting with high level executive clients in person and on the phone.
  • Confirming closing dates, location, documentation, and funds due at closing with borrowers
  • Dictation experience required.

Some of the qualifications we need to see in a potential team member are:

  • High school degree or equivalent required.
  • A minimum of seven years prior law office experience as a legal assistant within a large law firm setting.
  • Knowledge of commercial transactions essential.
  • Excellent verbal, written, organization, analytical, and interpersonal skills.
  • A high level of proficiency using diverse computer databases for data entry; adept at working with Microsoft Word and Outlook.
  • High level of attention to detail and good organizational skills.
  • Ability to prioritize and work independently with minimal supervision.
  • High degree of professionalism, confidentiality, discretion, and decorum.
  • Ability to prioritize multiple assignments.
  • Able to work under pressure when required.
  • Flexibility to work overtime required.
  • Dictation experience required.
